Hourly rate × hours looks simple until overtime multipliers, bank holiday rates and service charge splits enter the picture. That's where manual wage calculations quietly go wrong — not carelessness, just too many variables for a spreadsheet formula to hold reliably.

Wage calculation is harder than hours × rate

Every worker type has its own rules

A permanent salaried team member, a zero-hours casual and an agency worker booked for one shift don't get paid the same way — different rates, different overtime treatment, different leave entitlements. Doing this correctly by hand means holding three rulesets in your head at once, every single payroll run.

What FlexiWork is, and what it isn't

FlexiWork calculates what each person is owed and produces a wage-ready report from actual hours worked — it isn't a payroll bureau, and it doesn't submit RTI to HMRC on your behalf. Your existing payroll provider still handles PAYE and submission; FlexiWork removes the manual maths that happens before that step, not the step itself.

Where the errors actually happen

Most wage mistakes aren't rate errors — they're timing errors. Overtime calculated against scheduled hours instead of actual hours worked. A leave day paid at basic rate when the contract says otherwise. A service charge split that wasn't recalculated when a new starter joined mid-period. None of these are hard to get right individually; they're hard to get right consistently, every period, by hand.

What comes with wage calculation

Hours and rate are the starting point. Leave, deductions, expenses and service charge all adjust what someone's actually paid — each with its own rules, calculated together in the same report.

Wages

Hours × Rate Calculation

Set the rules once. Wages follow every period.

1

Configure Pay Rules Once

Rates, overtime multipliers, additional pay types and leave rules per worker or contract type — set once, applied automatically from then on.

2

Actual Hours Feed In

Digital clock in/out records feed the calculation directly — not the scheduled rota, the hours actually worked.

3

Export the Wage Report

Gross pay, overtime, leave, deductions, expenses and service charge, calculated together per worker per period — ready to hand to your payroll provider.

RotaCloud, Deputy & Bizimply charge per user — 15 staff runs £45–90/mo, rota only. FlexiWork is one flat fee for both rota and wages.

FlexiWork isn't a payroll bureau — it produces the wage-ready figures your existing payroll provider needs, it doesn't submit RTI to HMRC. Full payroll submission is on the roadmap as a future add-on.

Questions, answered

What does FlexiWork's wage calculation actually calculate?
Wages are calculated based on the rules you set — hourly rates, overtime multipliers, additional pay types, leave, deductions, expenses and service charge distribution. You configure the rules once, and FlexiWork produces a single wage-ready report from each period's actual hours.
Is FlexiWork a payroll bureau?
No. FlexiWork calculates what each worker is owed and produces a wage-ready export, but it doesn't submit RTI to HMRC or run PAYE itself — that stays with your existing payroll provider. Full payroll submission is planned as a future add-on.
Does it handle overtime and bank holiday rates?
Yes. You configure your own overtime rules and additional pay types — bank holidays, weekend rates, bonus pay — applied automatically based on shifts actually worked, not scheduled.
Can I calculate wages differently for permanent, casual and agency staff?
Yes. Permanent salaried staff, zero-hours casuals and agency workers each follow their own pay rules and rates, but all three are calculated together in one wage report against a single payroll deadline.
