Leave & Absence · Included on every plan

Absence management that covers what's in your handbook — and what isn't

Structured leave, statutory sick pay for statutory-only organisations, and automatic holiday accrual — plus any ad-hoc leave type your policies actually use. Birthday leave, charity days, bereavement, whatever a manager needs to grant on the spot.

Most rota software ships with three or four fixed leave types and calls it done. Real handbooks aren't that tidy — there's the bereavement policy nobody wrote down properly, the birthday day off, the one-off compassionate leave a manager approved on the spot. Rigid systems force all of that into "unpaid / other," which loses the record and the intent.

The leave you planned for, and the leave you didn't

Structured leave: the contract and handbook stuff

Annual leave, sick leave, statutory leave — the types every employment contract already references, with holiday accrual tracked automatically underneath. This is the baseline every leave system handles.

Custom leave: the part most systems don't handle

Every operator we've spoken to has leave types that live in policy but never made it into software: bereavement leave with its own rules, a birthday day off, charity volunteering days, one-off compassionate leave a manager grants without a formal policy behind it. In FlexiWork, any of these is a real leave type — with its own rules and pay rate — not a workaround typed into a notes field.

Where statutory sick pay fits

For organisations paying SSP only, FlexiWork calculates it automatically. If your contracts pay enhanced or contractual sick pay above the statutory minimum, that's tracked as its own configured leave type instead — the distinction matters, because a statutory calculation and a contractual rate you set yourself are not the same thing, and conflating them is exactly how sick pay gets paid incorrectly.

What comes with absence management

Structured

Annual, Sick & Statutory Leave

The contract-and-handbook basics, set up once, with automatic holiday accrual running underneath every worker, including irregular and zero-hours staff.

Custom

Any Ad-Hoc Leave Type You Use

Birthday leave, charity days, bereavement, one-off compassionate leave — defined with your own rules and pay rate, not limited to a preset list.

Statutory

SSP for Statutory-Only Organisations

Calculated automatically where your organisation pays statutory sick pay only. Enhanced contractual sick pay is tracked as its own configured leave type.

Set your leave types once. Approvals and pay follow.

1

Set Up Your Standard Leave Types

Annual, sick and statutory leave, configured to your policy — holiday accrual runs automatically from there.

2

Add Whatever Custom Leave You Actually Use

Birthday leave, charity days, bereavement — each with its own rules and pay rate, available the moment you need it.

3

Approve, and It's Handled

Approved leave feeds straight into the wage report for that period — nothing to re-enter when payroll runs.

Most rota software ships with three or four fixed leave types. FlexiWork lets you define as many as your policies actually use — included, not an add-on.

Questions, answered

Does FlexiWork calculate statutory sick pay automatically?
Yes, for organisations that pay SSP only. If your contracts pay enhanced or contractual sick pay above the statutory rate, you set your own rate for that leave type instead — FlexiWork tracks and pays it, it just isn't calculating a statutory formula in that case.
Can I create leave types beyond annual leave and sick leave?
Yes. Birthday leave, charity days, bereavement, or any ad-hoc leave a manager needs to grant on the spot — each with its own rules and pay rate, not limited to a fixed list.
How does holiday accrual work for zero-hours or irregular staff?
Accrual is tracked automatically based on actual hours worked, so irregular or zero-hours workers accrue holiday pro-rata without anyone running a manual calculation each period.
Does approved leave feed into the wage report automatically?
Yes. Once leave is approved, it's included in the relevant period's wage calculation automatically — nothing has to be re-entered when payroll runs.
